Intake Forms/ Paperwork
Feature Request: Annual Paperwork Review and Attestation Option
I would love to see Boulevard add an optional setting that allows businesses to streamline the annual renewal of client paperwork while still maintaining expiration requirements and supporting compliance.
Currently, clients may be required to completely refill out paperwork once it expires, even when little or no information has changed. This can create frustration for clients and has resulted in frequent complaints about having to repeatedly complete the same forms year after year.
It would be extremely helpful to have a setting that allows paperwork to continue expiring after one year, but instead of requiring the client to complete every form again from scratch, Boulevard could prompt the client to review their existing information annually.
The process could work like this:
The client's paperwork still expires after the business's designated timeframe, such as one year.
Once the paperwork is due for renewal, the client is prompted to review their existing forms and information.
The client can update or make changes to any information that has changed.
If nothing has changed, the client can check a box or electronically attest that their information has been reviewed and remains accurate and unchanged.
The client would then sign and date the annual review/attestation.
Boulevard would maintain a record of the original paperwork along with each subsequent annual review, including the date, any changes made, and the client's acknowledgement.
Ideally, this would be an optional setting that each business could turn on or off, allowing businesses to determine whether this workflow is appropriate for their own policies and compliance requirements.
I believe this feature would significantly improve the client experience by reducing unnecessary and repetitive paperwork, while still encouraging clients to review their information regularly. It would also help businesses maintain documentation showing that client information was reviewed and confirmed, rather than simply allowing expired paperwork to remain active.
This would be especially valuable for businesses that prioritize both a smooth client experience and maintaining appropriate documentation and compliance practices. Allowing clients to review and confirm existing information annually, rather than starting from scratch every year, would save time for both clients and staff while helping businesses maintain an organized record of ongoing client acknowledgements.
