We’re hoping you can help us determine whether there is a cleaner workflow for an issue we’ve encountered with our twice-yearly promotional sales.
We are a medspa/wellness practice and use Boulevard Packages for our Summer and Winter Sales. This works extremely well for nearly all of our services because patients can shop all sale offerings in one place online, purchase a package, and automatically receive the appropriate vouchers in their account.
The exception is Botox and Dysport.
During our sales, we typically offer:
30 units of Botox for $300
90 units of Dysport for $300
Historically, we have sold these through a Package that generates a voucher. The issue is that patients don't necessarily redeem all of their units at one appointment. For example, someone may purchase 30 Botox units but only receive 22 at their next visit. This requires us to manually track and adjust the remaining 8 units, which creates unnecessary opportunities for human error.
We recently learned about Boulevard's Prepaid Product Units feature, which seems like the ideal solution for the redemption side. Ideally, the patient would purchase 30 Botox units, those 30 units would populate in their Wallet, and Boulevard would automatically deduct the actual number administered at each visit until their balance reaches zero.
However, we confirmed with Boulevard Support that Prepaid Product Units cannot currently be sold online. This creates a significant limitation for us because online Package sales are a major part of how we run and market these promotions.
We have considered a workaround where we continue selling the promotion as an online Package and then manually convert the resulting voucher into Prepaid Product Units. Our concern is that this creates additional manual steps and potentially introduces issues with accounting, reporting, liability tracking, refunds, and reconciliation. We would prefer not to build a workflow that requires our team to manipulate a purchase after the transaction has already occurred.
Our ideal workflow would be:
Patient purchases 30 Botox Units for $300 or 90 Dysport Units for $300 through Boulevard's online sales/Packages section → Boulevard automatically deposits the corresponding number of Prepaid Product Units into the patient's Wallet → units are automatically deducted as they are administered at future appointments.
We would be happy to create separate Botox and Dysport packages so the product is determined at the time of purchase.
Is there currently any functionality, configuration, or workflow that would allow us to accomplish this without manually modifying the patient's account after purchase?
If not, we would love for this to be considered as a feature request. Specifically, it would be extremely helpful if Boulevard could either:
Allow Prepaid Product Units to be sold directly online, similar to Packages; or
Allow Prepaid Product Units to be selected as a Package perk, so an online package purchase could automatically issue a predetermined quantity of a specific product into the client's Wallet.
For medspas selling promotional injectable units, this would bridge what currently feels like a gap between Boulevard's online sales functionality and its usage-based/prepaid product tracking.
Our primary goal is to keep the process automated from purchase through redemption so that the patient's balance, transaction history, reporting, and accounting all remain accurate without requiring manual intervention from our team.
